Hours: Full-Time: 37.5 hours per week, alternating weekly schedule of Monday-Friday: Monday & Thursday 10:30 a.m.-7:00 p.m., Tuesday, Wednesday, Friday 8:00 a.m.-4:30 p.m.; and Tuesday-Saturday: Tuesday, Wednesday, Friday 8:00 a.m.-4:30 p.m., Thursday 8:00 a.m.-7:00 p.m., Saturday 10:00 a.m.-3:00 p.m.

Salary: $38,000-$47,000 annually, dependent upon experience

There is one position open at this time.  

Responsibilities include:
•    Prepares work schedule for clerical/administrative employees and assures coverage of functions such as reception, mail preparation, tag issuance, fee collection and data entry
•    Monitors staff compliance with work schedules and reviews time documents
•    Provides services and representation related to a division or area of expertise
•    Recommends hires and promotions, directs, evaluates and appeals of employment decisions for all assigned positions
•    Provides training and mentoring for new and existing staff
•    Coordinates required work for all assigned staff, monitors their workflow and ensures all deadlines are met
•    Oversees the work of subordinates to ensure accuracy and completion
•    Oversees payroll entry, certificate entry, OSHA reporting and document retention for the department
•    Coordinates routine Facilities, IT and Telecomm work requests for the department
•    Collects, compiles, photocopies, assembles and distributes materials for meetings, and/or other informational packets using identified sources
•    Prepares reports, charts and tables by gathering, compiling and typing data following established procedures or format
•    Prepares letters, memos, or other correspondence
•    Oversees and orders inventory of office supplies, equipment and services within prescribed procedures and contractual agreements
•    Reviews program compliance rules for data entry, monitors program billing and billing rejects and other program data entry requirements
•    Answers complex inquiries regarding policies or procedures by providing information requiring interpretations and familiarity with divisional policy and operations
•    Screens telephone calls, letters and/or visitors
•    Ensures the department provides an exceptional level of customer service and determines when to elevate complaints/concerns
•    Oversees cash reconciliation/fee collection and ensures strict adherence to policy and procedure
•    Files documents alphabetically, numerically, or by other prescribed methods
•    Assists Manager with developing/maintaining standard operating procedures and forms for the department
•    Handles and interacts with varying species of animals
•    Promotes team work and accountability among subordinates and across units

Requirements include the following experience or equivalent combination of training and experience:
•    High School Diploma or General Equivalency Diploma equivalent
•    Four years of skilled secretarial experience which included a high volume of public contact providing a high level of customer service
•    One year of supervisory experience or demonstrated leadership ability
•    A passing score on skills test in Microsoft Word, Excel and typing speed and accuracy are required
